Controller: DOLLAR JUDGE INC, doing business as Headii
Address: 522 W RIVERSIDE AVE STE N, SPOKANE, WA 99201-0581, UNITED STATES
Privacy: privacy@headii.com
Support: support@headii.com
This Privacy Policy explains how DOLLAR JUDGE INC, doing business as Headii (“Headii,” “we,” “us,” or “our”), handles personal information when you use the Headii mobile application, software made available for compatible devices, and related account, support, cloud and artificial-intelligence services (together, the “Services”). It also covers websites operated by Headii that display or link to this policy only insofar as they provide those Services, such as account, support and privacy-request interfaces. A link to this policy alone does not bring an entire shopping or marketing website within its scope.
This policy describes processing for available Services. Conditional provisions do not activate a future feature or authorize a new purpose. An independent destination you choose for an export or share handles its copy under its own notice.
Headii's standalone website browsing, reservations, shopping, order handling and marketing are addressed by the Website Privacy Policy or activity-specific notice presented at the relevant website or collection point. Hardware purchase, delivery, return, repair and warranty processing is addressed by the notice for that activity. The responsible seller or provider may be Headii or another party; separate notices do not transfer or remove Headii's responsibility for its own processing. A website notice does not authorize using App account information or User Content for website marketing, advertising audiences or another new purpose. Any such proposed use remains subject to the applicable notice, legal basis and choice requirements before it begins.
Where Washington or Nevada consumer health data law applies, our separate Consumer Health Data Privacy Policy explains the consumer health data categories, purposes, sources, disclosures and rights required for that processing. It is a notice, not a separate agreement or consent to collect, share or sell consumer health data. A covered feature is not available unless and until that policy and the required homepage or other prominent public link are in place.
Where a comprehensive U.S. state privacy law applies, our U.S. State Privacy Notice, including its direct California Notice at Collection, supplements this policy with state-specific collection disclosures, rights, appeals and opt-out information. U.S. users may use the request routes described there even when a particular statutory right does not apply. The notice does not expand current processing or make a state law apply when its legal scope or threshold is not met.
Receiving or acknowledging this policy is not consent to an optional feature, permission or new purpose. Where consent or another choice is required, Headii will request it for the specific data, purpose and context.
Current-use guide
This guide highlights the policy for actions you can actually use and choose to invoke, including features you deliberately enable. Conditional wording does not state that the described feature or processing is currently enabled or authorize it in advance. A paid service applies only when it is actually offered with its terms and purchase disclosures. The sections below explain the details and limits.
- What we handle: account, device and service information, content processed for actions you request or features you enable, and information for support, privacy requests, security and any available purchases. See Sections 3–5.
- What goes online: an online action may send relevant content to Headii and its providers. Local storage alone does not authorize upload. App-managed content, device files and exported copies have different controls. See Sections 6–8.
- Who receives information: providers perform assigned cloud, AI, communications and other service roles. Other disclosures include destinations you choose and limited legal or corporate-transaction disclosures. Information may be processed outside your country. See Sections 6 and 15; Section 6 links to the Service Provider List.
- How long we keep it: original transcription audio ends ordinary task use seven days after Headii first receives it; transcripts do so within 90 days of generation. Automated deletion then begins; infrastructure completion may take longer. App feedback and reports have a 12-month maximum from confirmed receipt, subject to shorter periods and limited lawful holds. Other records and copies have separate rules. See Section 9.
- Training and review: ordinary User Content is not used for model training or routine human quality review. If offered, eligible text and original-voice contributions require separate, default-off choices. Support, reported AI results and specific incidents have limited review purposes. See Section 7.
- Your controls: use available App controls or contact privacy@headii.com to request help, exercise rights or request account deletion. Offline App cleanup requires reconnection; deletion does not remotely erase device, system-library or independently held copies. See Sections 11–13.
1. Identity, Effective Date and Scope
DOLLAR JUDGE INC, doing business as Headii, is responsible for the Headii processing described here unless a regional notice identifies another legally responsible entity for a specific Service. This policy takes effect on the date shown with the copy published or presented to you. Its scope, including the supporting web interfaces and the separate standalone website activities it excludes, is described above.
It covers processing needed to provide an available Service, including necessary connection and security processing when you access it, and processing that begins when you deliberately invoke an available action, enable an available feature or submit information, subject to applicable permissions and choices. An enabled feature may capture or process information on a schedule, repeatedly, continuously or in response to a disclosed trigger without a new manual action for every event. Before enablement, we explain the information involved, purpose, operating conditions, storage or transmission, and how to stop the feature. This does not authorize undisclosed collection or turn a possible future capability into current processing. An operating-system permission alone does not authorize a new purpose.
2. Information Covered and Key Definitions
“Personal information” means information that identifies, relates to or can reasonably be linked with a person, as defined by applicable law.
“User Content” means audio, photographs, video, text, prompts, attachments and other material you submit to or process through the Services, together with associated transcripts, translations, summaries, titles and results.
“AI Improvement Contributions” means only eligible interaction text or original interaction voice from the exact disclosed eligible future interactions that your enabled choice for that contribution type prospectively designates while the choice remains on, until you withdraw it. Merely using an AI feature, submitting content for support or acknowledging this policy does not designate a contribution. Historical content, ineligible content and content from another feature remain ordinary User Content outside that choice.
“De-identification” refers to measures that remove or reduce links to a person. The label alone does not establish that information meets a legal de-identification or anonymization standard.
“Pseudonymization” means separating or replacing identifying information so that associating the remaining records with a person requires additional information kept separately and protected by safeguards. Information that Headii can still reasonably link to a person remains personal information in our handling; using a code instead of a name does not remove those protections.
“Effective anonymization” means that a documented technical and contextual assessment shows a person is not reasonably likely to be identified or reidentified using the information itself or other means reasonably available to Headii, a provider or another likely recipient.
3. Information We Collect
Depending on the Service you use and the action you take, we collect:
- Account and authentication information, such as an email address, phone number or third-party sign-in identifier when the corresponding sign-in method is offered and you use it, together with verification and security state;
- Legal and preference records, such as the policy or terms version shown, acceptance records and feature-specific privacy choices;
- Device, connection and service-state information, such as compatible-device identifiers, IP address or network connection information needed to communicate with the Service, App version, timestamps, request or error status and necessary delivery records;
- User Content and task results when you deliberately invoke an online content-processing or AI-enabled action, or when processing occurs within the disclosed scope of an available feature you deliberately enable;
- AI Improvement Contributions and contribution-choice records, only if Headii makes the optional program available and you separately choose eligible interaction text or original interaction voice for the disclosed Headii-directed training, evaluation or improvement purpose;
- Permission and capture information, such as the permission state, active source and capture or task status for a microphone, camera, media or location-related action;
- Location and place-based information, such as an approximate, foreground or while-in-use device location, accuracy information, and a city, weather or other place-based result when you deliberately use or enable an optional location-based action. Before first access for a particular purpose, Headii explains in context the location level, immediate purpose, relevant recipient role and whether the Service retains location history. Location is optional unless clearly necessary for the result you request; where offered, you may use a manual place input instead;
- Support and privacy-request information, and AI-content-report information, including messages, the AI result and reason you deliberately report, any question, image or other context you affirmatively add, attachments, diagnostics you choose to submit, verification details and request history;
- Transaction and entitlement information, such as marketplace transaction identifiers, product and balance class, quantity, status, meter events, refunds and corrections;
- Necessary telemetry, security and diagnostic records, limited to fields needed to authenticate requests, deliver results, prevent fraud or duplicate operations, investigate a specific failure and protect the Services;
- Website and contact information, including information you submit through a contact or privacy channel on a website operated by Headii that displays or links to this policy, and necessary device, connection, request and security information generated when your browser accesses our pages or forms, even if you do not submit a message; and
- Information you direct us to disclose through an export, share, send or destination action.
Content kept within the App has different storage, deletion and backup controls from content on a compatible device or in your system library. Sections 8, 9 and 12 explain these distinctions. Local storage does not itself authorize uploading content to an online Service.
4. Sources of Information
We obtain personal information:
- directly from you;
- from a compatible device or your phone when you invoke a capability or while a feature you deliberately enabled operates within its disclosed scope, and from your App or browser when it connects to a Service;
- from your operating system when you grant a requested permission;
- from a sign-in provider or app marketplace you choose;
- from providers acting for Headii;
- from another user who records, submits or requests processing of content that includes information about you; and
- from a person who contacts us about a support, security, legal or privacy matter.
A device permission allows the operating-system access described by that permission. It is not blanket consent to an unrelated purpose, recipient, model training or public sharing.
A device permission may support compatible, disclosed uses at the access level you granted. Before a materially different purpose first uses that access, Headii provides an in-context explanation and any additional choice required by law. Reuse of a permission does not activate an unavailable feature or authorize an undisclosed purpose. Stronger access, such as background or always-on location, requires a separate in-context request when an available action actually needs it.
5. Why We Use Personal Information
We use the categories above only as reasonably necessary to:
- create, authenticate, secure and manage an account;
- link, control, update and troubleshoot a compatible device;
- perform an action you request and return or save its result;
- if an optional AI-improvement program is made available and you separately choose to participate, use only the covered AI Improvement Contributions for the disclosed Headii-directed training, evaluation and improvement purpose;
- provide an optional location- or place-based result that you request;
- when an available feature clearly offers it and you deliberately enable it, provide repeated or ongoing insights about your own health, wellness or emotional state within the scope described for that feature;
- maintain accurate task, capture, transaction and entitlement state;
- send necessary account, task, security, support and privacy communications;
- respond to support, privacy and security requests;
- investigate a specific AI-content report and use that report to inform content-safety filtering and moderation for the Services;
- prevent fraud, abuse, unauthorized access and duplicate operations;
- investigate a specific failure or a specific suspected security, abuse or legal incident;
- comply with applicable law and valid legal process; and
- establish, exercise or defend legal claims.
Necessary automated integrity controls and telemetry are limited to delivering, securing and diagnosing the action you requested. They do not authorize general monitoring of User Content. Voluntary support content is used to respond to or investigate your submission. If you deliberately use an in-App control to report a specific AI result, the reported result, reason and context you choose to add may also be used to inform content-safety filtering and moderation. This narrow safety purpose does not designate any material as an AI Improvement Contribution. We do not treat these separate purposes as permission for unrelated profiling, routine review of other User Content, model training or general product improvement outside the disclosed content-safety purpose.
6. How We Disclose Personal Information
We disclose personal information to these categories of recipients when needed for the purposes above:
- cloud infrastructure, authentication, communications, notification, security and fraud-prevention providers acting for Headii;
- AI, speech, language or visual-processing providers acting for Headii when you request the related online action;
- providers performing bounded storage or computation on Headii's documented instructions for a disclosed Headii-directed AI-improvement purpose, if the optional contribution program is made available and validly selected;
- operating-system, mapping, geocoding, weather and other place-information providers used to produce an optional location- or place-based result you request;
- support and professional advisers acting for Headii under confidentiality and purpose limits;
- a sign-in service, marketplace, application, person or other destination you choose;
- authorities or other parties when reasonably necessary to comply with law or valid legal process, investigate fraud or a specific suspected incident, enforce applicable terms in connection with that incident, or protect rights and safety; and
- parties evaluating or completing a merger, financing, acquisition, reorganization, bankruptcy or relevant asset sale, subject to confidentiality, notice and legal requirements.
Before a feature sends personal information to a provider, Headii will publish an accurate Service Provider List identifying the entities and services permitted to receive that information, relevant roles, purposes, data categories and applicable regions. The feature is not available unless and until that accurate list is in place. A listed provider may not receive every request. Listing or using a provider does not expand the purposes, permissions or data-use rights described in this policy, and a candidate or evaluation provider is not treated as eligible to receive personal information merely because Headii is considering it.
Some third-party services, such as an app marketplace, sign-in provider, communications network or destination you choose, may process limited information as an independent controller under its own privacy notice. Where material, the Service Provider List identifies that role. This policy does not authorize an independent third party to use User Content for model training or an unrelated purpose on Headii's behalf. Any material independently controlled processing remains subject to its own applicable notice and to any disclosure or choice required by law.
Corporate-transaction disclosures do not expand the permitted uses of User Content or remove the protections in this policy. For transaction evaluation, we use information that does not include User Content or lawfully prepared, effectively anonymized summaries where these can meet the need. Any personal information disclosed must be limited to what is lawful and necessary for a purpose permitted by this policy, with confidentiality, purpose and access safeguards.
Personal information transferred to a successor remains subject to the privacy commitments applicable to that information. A change in who controls the information or how it is used remains subject to applicable legal grounds, notice and choice requirements, including Section 16.
Providers acting for Headii may use information only for the assigned service role and purposes. A provider or other third party may not retain an independent right to use AI Improvement Contributions to train, fine-tune, improve, evaluate, benchmark, validate or develop its own model, another party's model, a reusable dataset or another service. Headii remains responsible for the privacy commitments it makes about those providers. We limit legal or security disclosures to what is reasonably necessary and challenge an overbroad request when appropriate and lawful.
The same purpose, model-training and human-access restrictions apply to primary providers and to providers used for a retry or fallback. A change of provider does not itself authorize a new use of information or remove the retention and deletion protections in Section 9.
Unless Headii has verified written rights that support the exact proposed use, material subject to a provider or third party's restriction against training, evaluation, model improvement, dataset creation or a competing use may not be designated or used as an AI Improvement Contribution. This includes any restricted input, output, transcript, translation, timestamp, label, annotation or derivative, even if the same material also passed through another provider. Provider-specific scope limits are recorded in the Service Provider List or the applicable feature notice when material to the user. This restriction does not prevent an eligible provider from performing the user-requested action within the disclosed service purpose and verified contract.
7. AI and Content Processing
When you request an AI or machine-processing action, we use the task content to perform that action and apply necessary automated integrity controls. Content is examined beyond those controls only when you deliberately submit the relevant content for support or an AI-content report, or when reasonably necessary to investigate a specific suspected security, abuse or legal incident. A reported AI result and the context you choose to add may be reviewed for the report and used to inform content-safety filtering and moderation; this is a narrow safety purpose rather than permission for general service improvement. We do not use ordinary User Content for advertising, unrelated profiling, general service improvement or model training. The only exception is an AI Improvement Contribution prospectively covered by the separate optional choice described below.
If Headii makes the optional contribution program available, eligible interaction text and original interaction voice are separate, default-off choices. An enabled type-specific choice prospectively designates only the disclosed eligible interactions within its prospective scope, until you withdraw it. It does not include historical, ineligible or other-feature User Content. Declining or withdrawing does not reduce ordinary features or purchased value. A valid text choice does not include original voice, and a valid original-voice choice does not include text; each can be withdrawn independently.
We do not conduct routine human review of User Content for quality evaluation. Authorized personnel may access the minimum necessary content when you deliberately submit it for support, including an AI-content report, or when access is reasonably necessary for a specific security, abuse or legal incident, subject to access controls and accountability. Reporting one result does not authorize review of unrelated content.
Before participation, the in-context notice identifies the exact eligible information, Headii-directed training, evaluation or improvement purpose, whether some or all future eligible interactions are selected, current processor roles, applicable retention rule, withdrawal and deletion consequences, and any effect of completed training. The choice does not authorize background listening; recording, transcription, translation, support or other feature content; material supplied to or produced by a speech provider; advertising; voice identification; voice cloning; unrelated profiling; or routine human review. If those boundaries or a required legal condition cannot be met, the affected contribution route is not made available.
An online AI action can involve sending the task’s audio, images, text or other relevant content, together with necessary service information, to an AI, speech, language or visual-processing provider described in Section 6. Where applicable law or marketplace rules require disclosure and permission for that sharing, we explain the relevant information, purpose and provider categories, make the current Service Provider List directly available, and obtain the required permission before the sharing begins. An existing feature-enablement or use flow may provide that explanation and choice; a separate AI agreement or pop-up is not required by this policy.
Where permitted by applicable law and marketplace rules, a valid choice can cover repeated processing and later routing to an approved provider within the same clearly described provider category, including a provider added to the current Service Provider List after the choice. This applies only while the purpose, personal-information categories, provider role, user controls, model-training and human-access limits, retention and material transfer protections remain within the disclosed scope. Adding or replacing a provider within those boundaries does not by itself require another prompt. The choice cannot be treated as permission for a new purpose, materially expanded information, independent use by a provider, provider training, routine human review, advertising, materially weaker protection or another materially different recipient arrangement. If applicable law or marketplace rules require a named or fixed recipient set, or the notice actually presented limited the choice to named recipients, that narrower requirement controls and the new provider will not receive the covered personal information until the required disclosure or permission has been completed. An operating-system permission or acceptance of the Terms alone does not establish this choice.
User Content and results may contain sensitive personal information, such as information about health, beliefs or other legally protected characteristics. Ordinary audio, photographs and video are not automatically biometric-identification data; their treatment depends on the processing and applicable law. Headii does not use biometric templates or health or emotion information for identification, advertising, eligibility decisions, covert surveillance, or profiling unrelated to an action or feature you deliberately enable. A result you request may analyze, summarize, translate or draw inferences from the content you submit, including sensitive information where the requested action and applicable law permit that processing.
If Headii offers an optional feature that provides repeated or ongoing insights about your own health, wellness or emotional state, the feature will be off until you deliberately enable it. Before processing begins, Headii will provide an in-context notice identifying the relevant information, purpose, scope and frequency, recipients, retention and controls, and obtain any consent required by law. You can stop future processing and manage retained information through the controls described for that feature. This paragraph does not state that a feature is currently available or authorize processing in advance, processing about another person, advertising, identity or eligibility decisions, covert surveillance, unrelated profiling, model training or routine human quality review.
Processing sensitive information remains subject to the purpose limits in this policy and any additional legal conditions and safeguards that apply. An account holder’s acceptance of the Terms, request for processing or general privacy choice does not by itself satisfy those conditions, particularly for information about someone else. If the conditions for a requested processing activity cannot be met, we will not provide that processing. This does not change our restrictions on model training or routine human quality review.
Where applicable law requires it, Headii will identify direct interaction with an AI system and provide required labels or disclosures for generated or manipulated content.
8. Copies and Storage Locations
The same content can exist in different places:
- App-managed local copies remain within the App on the phone where they were created or saved, associated with the relevant Headii account. They are excluded from the phone system's App cloud backup and are not automatically synchronized to another phone through your Headii account.
- Device and system-library copies remain on a compatible Headii device or in your phone's system photo library. Their storage and deletion controls are separate from the App-managed copies; system-library copies follow the system library's backup settings.
- Headii-controlled copies are limited to what is needed for the account, requested task, support interaction, transaction or security function.
- Provider copies are limited to the provider’s assigned role and applicable retention instructions.
- Copies sent at your direction are controlled by the person, application or other destination after delivery.
Deleting one copy does not automatically delete every other copy. Account deletion includes App-managed local data as described in Section 12. It does not remotely erase content on a compatible Headii device, files in your system photo library or Files, downloaded exports, or copies held by other people or independent services.
9. Retention, Deletion and Anonymization
We use separate retention rules for different records and copies, including any backups. Keeping a limited record for one purpose does not mean keeping all related User Content. In particular, the existence of an account does not extend the lifetime of an online task's content.
The rules below, together with any feature-specific notice required before processing, state the applicable copy-specific periods or objective deletion criteria. Headii may publish an operational summary of these rules, but a summary is informational only: it cannot silently lengthen a fixed period stated here, introduce a new purpose or exception, or replace a feature-specific notice required before processing.
- Account and access: account and authentication information is kept while the account exists. Account deletion ends ordinary account use; only the limited records described below may remain. Verification codes and access credentials have separate expiry or revocation events and are not kept usable merely because an account remains open.
- Online tasks: User Content for an online task is transient task data, not a general account-content library. For original audio submitted for an online transcription task, the ordinary task-use period ends seven days after Headii first receives the audio. For a transcript generated from that task, the ordinary task-use period ends no later than 90 days after the transcript is generated, so that the result can be initially delivered, delivered again or recovered during that period. At the end of the applicable period, Headii stops making that copy available for ordinary task use and triggers its automated deletion from active systems. Automatic retries, late results and opening the App do not restart either period. Other online-task inputs and results follow any shorter fixed period or objective end criterion disclosed for the relevant action. A result-delivery window is not a promise of permanent cloud storage. Completion of infrastructure deletion, including removal or overwrite of residual recovery copies, may take additional processing time under the infrastructure provider's applicable deletion process; during that time, the affected copy is unavailable for ordinary use. If a recovery operation restores content subject to deletion before that process ends, the deletion or restriction is reapplied before the content returns to ordinary use.
- AI Improvement Contributions: if the optional program is made available, a contribution copy and its choice record follow the separate period and end event disclosed before participation. Withdrawing stops future designation and use under that choice. The notice must state what happens to existing copies and any effect on training already completed; we do not promise deletion from a completed model or model unlearning where that result cannot be provided. Ordinary task copies remain governed by the online-task rule above.
- App-managed and other local copies: App-managed local content follows the retention and deletion controls for the relevant content, including account deletion under Section 12. Files on a compatible device, in a system library or at an independent destination follow that location's separate controls. An online task's expiry does not by itself delete a result already saved on your phone. App-managed content is excluded from the phone system's App cloud backup; files you separately save or share outside the App follow that destination's storage and backup controls.
- Optional location and place-based actions: a location result is used only as needed to provide the disclosed result. Transient location access does not itself create a location history. An action that retains a route, place or other location history must explain that retention and its controls before it begins. A place-based result stored with local content remains until you change or clear it, delete that local content, or the App's local storage is removed. Provider copies follow the separately disclosed provider role and retention limits.
- Support, AI-content reports and privacy requests: support, privacy-request and deletion-request information follows the applicable rule below. Feedback content, AI-content reports, attachments and diagnostics submitted through the App are retained for no longer than 12 months from the time Headii's service confirms receipt, unless a shorter period applies or a limited lawful security, legal or rights-request hold applies. Later support emails do not restart that 12-month period; email copies follow the support mailbox's separately controlled retention rule. A minimal record of a privacy request, verification outcome and response may remain through the applicable accountability or legal-claim period, but that does not justify keeping every attachment or the original identity-verification material for the same period.
- Purchases and legal records: transaction, entitlement, legal notice and choice records are limited to what is needed to maintain an outstanding entitlement, honor a current choice, and prove the relevant transaction or notice. Once that continuing purpose ends, any further retention follows the applicable tax, accounting, recordkeeping or legal-claim period, measured from the transaction, response, resolution or other event specified by that requirement. Non-expiring paid time can require a long-lived minimum entitlement record, not long-lived retention of the associated recordings or AI results.
- Operational and incident records: necessary telemetry, security and diagnostic records are retained only for the period needed to complete, secure or diagnose the applicable event, measured from that event. A specific incident may justify retaining only its relevant fields or content through investigation, resolution and any applicable legal period. It does not restart the retention period for unrelated logs or create a routine User Content archive.
- Infrastructure recovery: residual recovery copies that still contain deleted information are unavailable for ordinary use and expire automatically through the infrastructure provider's bounded recovery process. If a recovery operation restores affected information before that process ends, the deletion or restriction is reapplied before the information returns to ordinary use. Infrastructure recovery is not an alternative account or content-recovery service.
Different copies can have different deletion events. A Headii task deadline does not, by itself, state the lifetime of a provider's task copy, service log or backup. Those copies remain subject to their own justified retention rules, our instructions and the purpose and access restrictions in this policy. Removing a task from view does not necessarily erase its provider or backup copies at the same time; each copy remains subject to the applicable deletion limits.
Limited continued retention must relate to an identified legal obligation, legal claim, privacy obligation or specific security or abuse incident. We separate the necessary information from ordinary use, limit access, record the reason and review its continued necessity. It is deleted when that reason ends unless another identified lawful reason applies. A possible future dispute, general troubleshooting or a provider's default setting does not by itself justify keeping all task content indefinitely. These exceptions do not authorize model training or routine human quality review.
We treat pseudonymized records that remain reasonably linkable by Headii as personal information, not as anonymous data. Authorized personnel and providers acting for us may associate such records with an account, transaction or person only to the minimum extent necessary for a lawful purpose already described in this policy, such as account or transaction verification, requested support or a privacy request. The additional identifying information is kept separately with restricted access; associations remain subject to purpose, access, accountability and retention controls. This does not authorize a new purpose, model training, routine human quality review, recreation of deleted content or circumvention of a person's rights. It does not require keeping an identity map solely to answer hypothetical future requests.
Information we represent or rely on as legally de-identified or effectively anonymized is maintained in that form. We do not attempt to reidentify it, and require recipients of such information to respect the same restriction, except for an expressly authorized, controlled assessment permitted by applicable law and solely intended to test the effectiveness of the relevant de-identification or anonymization. Any identifying information produced by that assessment is confined to the assessment, is not used for ordinary service operations or another purpose, and is deleted when the assessment ends, subject to any specific legal retention obligation. Calling a reversible record “de-identified” does not make it anonymous or permit us to evade these commitments.
If information treated as de-identified or effectively anonymized is reidentified, becomes reasonably linkable, or no longer meets the applicable standard, we stop relying on that status, restrict further use, retrieve or delete affected copies where appropriate, and apply the relevant incident, rights, retention and deletion requirements. Unauthorized association of pseudonymized records is separately subject to the security and incident requirements in Section 10.
10. Security
We use administrative, technical and physical safeguards designed to protect personal information in light of its nature and the Services. These include controls appropriate to data minimization, access, credentials, environments, transmission, providers, logging and incident response. No system can eliminate all security risk. If an incident requires notice, we will notify affected people and authorities as required by law.
11. Your Choices and Rights
You can manage available account and feature settings, deny or withdraw device permissions through system settings, stop invoking an optional action, independently withdraw an available text or original-voice AI Improvement Contribution choice, pause or disable an available ongoing-insight feature, and contact us about your information. A device permission may cover more than one disclosed compatible function, so withdrawing it may make each of those functions unavailable. Withdrawing a permission or choice stops future processing governed by it as described when the choice was presented; it does not automatically delete a copy already retained for another disclosed purpose. Where a retained feature history has its own deletion control, disabling future processing and deleting that history are separate choices unless the feature clearly states that one action does both.
Depending on your location and the law that applies, you may have rights to know or confirm processing, access, obtain a copy, correct, delete, receive portable information, withdraw consent, object, limit certain uses, opt out of specified sale, targeted advertising or profiling, appeal, or complain to a regulator. Where connected-product or related-service law applies, you may also have rights concerning access to, portability of, sharing of or termination relating to product or service data.
To submit a request or complain about how we handle your personal information, use the available in-App privacy control or privacy@headii.com. Once the public privacy-request page is working and available, you may also use that page. A Service or market that legally requires an additional request route is not made available unless and until that route works. We use verification proportionate to the information and risk. We do not discriminate against you for exercising an applicable privacy right.
You may use that same address to ask to review or correct information we hold about you; you do not need to create a new account to contact us. Where the law permits an authorized agent, the agent may contact us with the authority needed for that request. We respond within the applicable legal period and explain any permitted extension, refusal and available appeal or complaint route. Verification is used only where appropriate for the particular request; it is not an automatic condition for an opt-out signal or request that the law requires us to process without verification.
Browser and device settings can control some permissions and storage technologies. Restricting a technology needed for authentication, delivery or security may affect the corresponding function. A browser “Do Not Track” (DNT) setting is different from a legally recognized opt-out preference signal, such as Global Privacy Control (GPC). Headii does not currently respond to DNT as a separate privacy request because the current Services do not use DNT to control a sale, sharing or cross-context behavioral-advertising activity. We honor legally recognized opt-out preference signals where applicable law requires it; they do not automatically request deletion of an account or all of its information. Third-party infrastructure, security, authentication, marketplace and communications services may collect limited technical information for their assigned role. Some independent platform or service providers may also collect limited technical information over time across their own or unrelated services under their own notices. Headii does not authorize them to collect or use information through the Headii Services for cross-context behavioral advertising on Headii's behalf. The current Service Provider List identifies the providers and roles used for available Services.
12. Account Deletion
You may initiate account deletion through the available in-App account-deletion control or privacy@headii.com. Once the public privacy-request page is working and available, you may also use that page. A Service or market that legally or under applicable marketplace rules requires an additional account-deletion route is not made available unless and until that route works. We verify the request proportionately, tell you the expected completion period that applies to your request, and confirm when deletion is complete. We delete account-associated personal information and instruct providers acting for Headii to delete associated copies, except for information kept under a limited lawful security, transaction, dispute or legal criterion. Information may instead be treated as anonymous only after it meets the effective-anonymization standard described above.
Account deletion is not merely temporary deactivation. It ends ordinary Headii account access and includes removal or invalidation of Headii-controlled account credentials. It does not delete an independent Apple, Google or other account used to sign in.
Before deletion, we will explain the expected effect on account access, ordinary Headii systems, active or late tasks, local or external copies, limited retained records, backups, and each paid or free balance. When Headii accepts a deletion request initiated in the App, that phone signs out and clears the App-managed data associated with the account. Other phones clear the corresponding App-managed data when they next connect to Headii and receive the deletion status. For a request initiated outside the App, including through our website or support, each phone clears that data when it next connects and receives the deletion status. We cannot immediately clear an offline phone.
Account deletion does not remotely erase content or binding state on a compatible Headii device, files in your system photo library or Files, downloaded exports, or copies held by other people or independent services. A copy still held by Headii or a provider acting for us does not become an independently controlled copy merely because another user can see it. These limits do not exclude App-managed data, account data or credentials under Headii's control from deletion handling. A privacy or deletion request remains available while an account is restricted, and deletion does not itself cancel a valid restriction.
Account deletion does not itself expire, reclassify or forfeit unused purchased Transcription Minutes or Translation Minutes. Headii will not offer a Paid Time Pack unless the purchase disclosures identify the operational continued-access, transfer, refund, compensation or other lawful outcome that will preserve residual purchased value if deletion prevents use. Any restoration concerns only eligible purchased value and does not recreate a deleted account, credentials or User Content.
You do not have to use up or surrender eligible purchased value, or wait for a balance remedy to finish, as a condition of account deletion. We handle any outstanding value claim separately from deletion of the ordinary account and User Content. Any limited transaction, entitlement, claim or legally required enforcement record remains subject to the purpose, access and retention limits in this policy. A remaining balance does not by itself justify keeping the full account or User Content. Applicable identity verification and lawful retention exceptions still apply.
13. Recording, Bystanders and Non-Account Holders
User Content may contain personal information about people without a Headii account. Your acceptance of the Terms cannot accept privacy rights or provide consent for another person. You must provide any notice and obtain any permission or consent required by law.
Headii separately remains responsible for the duties that apply to its own processing. The source of information about a non-account holder may be the user who captures or submits it, and the information may include that person’s voice, image, words or details contained in a task or support submission. A contract with the account holder is not by itself a lawful ground for processing another person’s information, and private or household use by a user does not automatically exempt Headii from its own duties.
Where Headii is required to inform a person whose information it obtained indirectly, it will provide the relevant information within the applicable time and before an earlier disclosure or communication deadline, unless a specific lawful exception applies. Product indicators and this policy may support that notice, but are not a substitute for any additional information the law requires. Headii will not rely on the mere absence of an account or contact details as an automatic exemption.
For an available capture action, Headii provides information about the active source, capture state and online processing through the applicable product indicators and contextual notice. A product signal does not itself establish another person’s consent.
A person without an account may email privacy@headii.com about personal information Headii may control. We may request information reasonably necessary to locate the record while protecting the account holder and other people from improper disclosure.
If Headii handles the relevant information only on behalf of another controller, we will assist or direct the request as required by our role and applicable law. We do not require someone to open an account merely to raise a privacy concern, and we do not collect additional identifying information solely to identify people in recordings where the law does not require it.
14. Children and Actual-Knowledge Handling
The Services are intended only for people who are at least 18 and have reached any higher age of legal adulthood where they live. They are not directed to children, and Headii does not intend to knowingly collect a child’s personal information through an account.
If we learn that an account holder does not meet this rule, or that a child’s personal information was submitted in circumstances requiring action, we may restrict the account or processing while we investigate and will delete, retain or otherwise handle the information as required by law. Contact privacy@headii.com if you believe a child’s information was provided.
15. International Processing and Regional Information
The Regional Privacy Notice supplies the additional information for the countries it identifies. Read the applicable section together with this policy and the Service Provider List. The notice is not a separate consent or permission to begin an unavailable service.
Headii is a United States company. Personal information may be processed outside the place where you live when necessary for the purposes described in this policy. A location, store setting or network signal does not remove mandatory local rights.
Where an enabled region requires additional information, a regional privacy notice supplements this policy. That notice identifies, as applicable, the responsible controller and any required local representative or data-protection contact; purposes and legal grounds; legitimate interests; categories and sources of information not obtained directly from you; recipients or recipient categories; transfer destinations and safeguards; retention periods or criteria; rights and complaint routes; whether providing information is required or optional and the consequences of not providing it; and relevant automated-decision information. It also explains any region-specific treatment of sensitive information, non-account holders or feature choices.
The regional notice applies only to the location, Service and processing it identifies and does not itself make a Service available there. A route that requires regional particulars is not made available until an accurate notice and its required contacts, choices and request routes are available. The regional notice controls only the regional matter it addresses, and mandatory rights remain unaffected.
Subject to the law that applies, you may have rights to access, correct, delete or restrict personal information, receive or transfer a copy, withdraw consent, object to processing, seek safeguards for a covered automated decision, complain to a supervisory authority or regulator, or pursue a court remedy. Contact privacy@headii.com. Contacting Headii first is not required where applicable law allows you to use another complaint or remedy route directly, and declining an optional consent does not by itself prevent unrelated functions.
Where applicable law restricts an international transfer, we use a permitted transfer mechanism for the actual route. The regional notice identifies the destinations and, where required, the safeguards or statutory exception and how to request relevant information or a copy of contractual safeguards. Accepting the Terms is not blanket consent to international transfers, and an exception is used only when its specific conditions are met.
Where law requires specific pre-contract information about a connected product or related service, Headii will provide it before the relevant service agreement or access begins.
16. Material Changes and Future Processing
We identify each policy version and effective date and retain prior versions as required. For a material change, we will bring the change to your attention through an appropriate notice in the affected Service or a direct notice, such as an email to an account contact, before the change takes effect where advance notice is required. Updating this page alone is not a substitute for any additional notice or choice required by law. A same-purpose provider change does not reduce the commitments in this policy or automatically require you to accept the entire Terms again; it must still remain within the information and permissions applicable to the processing.
Before beginning a new purpose, sensitive processing, model training, routine human review, public sharing, optional analytics, or a material change in data categories, recipient roles, retention or international transfers, we will update the applicable notice and provide any choice or consent required by law. Mentioning a possible capability, accepting the Terms or granting a device permission does not authorize that change in advance.
